Roles and permissions

What it is used for​

Roles and permissions decide who can see and do what across OpusHub. They control the navigation, the actions on every row, the people who can close a run, the people who can sign off an assignment, and more.

Who can access it​

Admins manage roles and permissions. Managers may manage users and workflows depending on organisation setup.

User roles​

  • Admin. Organisation administration, including settings, users and billing.
  • Manager. Team management workflows and elevated actions on checklists they own.
  • Staff. Day-to-day checklist and assignment completion.

Checklist permissions​

Checklist permissions can be granted to users, groups or roles. Permission levels:

  • View. See and use the checklist where applicable.
  • Edit. Edit checklist details and tasks where allowed.
  • Manage. Manage higher-level checklist access and settings.

Permissions can be applied as:

  • User permission. Targeted to a specific person.
  • Group permission. Anyone in the group inherits the permission.
  • Role permission. Anyone with the named role (Admin, Manager, Staff or All) inherits the permission.

A user gets the highest level granted to them through any path.

Step-by-step​

  1. Open the checklist or user management area.
  2. Review the current role or permissions.
  3. Add users, groups or roles where access is needed.
  4. Choose the correct permission level.
  5. Save the change.
  6. If the user does not see the expected area after saving, ask them to refresh.

Important notes​

  • Checklist visibility can be public (visible to anyone in the org) or private (visible only to listed users, groups or roles).
  • Role-based permissions are evaluated by the user's current role at the time of access.
  • Notifications respect the access rules. A user without permission to a checklist will not receive notifications about it.
  • Subscription status can also affect whether management areas appear. See Plans and billing.
